Meetings are an essential part of corporate life for business and management issues. These meetings are held at all levels within any governmental or non-governmental organization from time to time. Meeting agenda is one important document related to meetings and as the name depicts it holds the agenda or which most people know by the name ‘topic’ of the meeting. Agenda is what a meeting will be focused on. A meeting agenda can comprise one and only one issue only or multiple issues in larger meetings (long-hour meetings). Meeting agendas are to be prepared prior to the meeting time and are to be presented to all of the members of the meeting so that all those present in the meeting are on the same page of discussion and better coordination is achieved during the discussions of the meeting.

To write a meeting agenda is just another office task performed by any assistant but to write a meeting agenda that is effective enough to describe all and save time with good coordination and coverage of all issues is not just another office task. It needs time, effort, and experience to write such meeting agendas. A perfect meeting agenda is considered the one which holds fast for every member of the meeting and all those attending the meeting can understand and get to the points mentioned in the agenda without any trouble.

A perfect meeting agenda has a few salient features which need to be pinned close to perfection to get it declared as a perfect meeting agenda. First and foremost is the title of the meeting which is to be written at the top of the agenda document. To be perfect the title should be such it can describe the purpose and focus of the meeting in a minimum number of simple words for all the invited members. A small description or invitation lines follow the heading. This should be straight, to the point, and two to three lines description including the date, time, and venue of the meeting in it along with the small inviting purpose of the meeting.

The main body of the agenda is the most important portion. The hierarchy which has to be followed in the meeting should be included in the bulleted or numbered form prior to writing anything else. The order of the topics should be such that the meeting goes in a progressive way and not in a random way resulting in disorder and confusion during the discussion as the opening address of the CEO or president should be at starting and not after any other discussion.

The members of the meeting should be made aware of these topics before the meeting so that everyone should have enough information to share during the discussions and make the maximum out of the time spent on a meeting.

No doubt about the fact that a successful meeting can never be organized without there being a perfectly written and timed meeting agenda; since agendas are the documents that tell people where to go when there is a meeting going on.
